Office Coordinator -Caldwell, ID

Summary

This job performs a wide variety of administrative, clerical, and customer service duties in support of plant operations, leadership, and employee engagement activities. Serves as the primary point of contact for visitors, contractors, vendors, auditors, and employees, ensuring a professional and welcoming experience. Responsibilities include coordinating plant tours, managing office operations, supporting onboarding activities, assisting with employee events, maintaining records, and providing administrative support to plant leadership and the Human Resources team. Requires strong organizational skills, flexibility, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Greets and assists visitors, vendors, contractors, auditors, and job applicants, serving as a professional and welcoming representative of the facility.
  • Coordinates plant tours and visitor activities, ensuring schedules, communications, safety requirements, and logistics are organized and completed accurately.
  • Provides administrative support to plant leadership and cross-functional teams, including scheduling, correspondence, document preparation, data entry, and special projects.
  • Supports Human Resources activities including onboarding coordination, employee communications, and data entry.
  • Answers and directs telephone calls, responds to inquiries, takes messages, and provides information to employees and external contacts.
  • Maintains office supplies, places orders, and coordinates with vendors to ensure office and event needs are met.
  • Coordinates meetings, employee recognition programs, community involvement initiatives, and special events, including vendor communication, catering arrangements, and event logistics.
  • Assists with employee engagement activities, charitable campaigns, and site-wide programs in collaboration with plant leadership and other Simplot locations.
  • Processes incoming and outgoing mail, shipments, invoices, and other routine administrative documentation.
  • Maintains accurate records, files, reports, and confidential information in accordance with company policies and procedures.
  • Supports contractor and visitor management processes, including security access, required documentation, and training records.
  • Performs general clerical and administrative duties as assigned to support efficient plant operations.
 


   

Typical Education

High school diploma or general education degree (GED)

 

Relevant Experience

  • 2+ years of administrative, office coordination, customer service, or related experience preferred.
  • Experience supporting multiple stakeholders and managing competing priorities in a fast-paced environment preferred.

  • Demonstrated proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint. 
  • Strong interpersonal, communication, and customer service skills with the ability to interact professionally with individuals at all levels of the organization.
  • Ability to effectively prioritize work, adapt to changing business needs, and manage multiple tasks simultaneously.
  • Demonstrated reliability, professionalism, and attention to detail.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Flexibility to support occasional plant events outside of normal working hours as business needs require.
