Summary

This position performs a variety of administrative duties to support customer service and provide administrative support to the team members in multiple retail locations. As the organization evolves this role may assume new responsibilities and tasks in addition to those outlined in the profile.

Essential Duties and Responsibilities

Customer Accounts Support

  • Communicate professionally with customers (internal and external) via phone, email, in writing, or in-person to convey information regarding accounts, and to gather and clarify details to promote the timely payment of accounts. 
  • Work with Sales Representatives and customers to ensure an orderly payment of debts owing to Simplot Grower Solutions. 
  • Assist customers with their accounts, including walking them through split billing, prepayments, and any other account inquiry. 
  • Maintain comprehensive knowledge of all 3rd party credit services and products available and corresponding processes, procedures, and documentation required to access it. 
  • Be knowledgeable in the workings and application process of the Canola Growers Advance Payments Program. 
  • Document all credit-related discussions in our CRM, including customer agreements, commitments, account adjustments, interest adjustments, requests, etc., and ensure proper follow-up on all deadlines. 
  • Be familiar with customers’ financing needs and complete and submit all credit and loan applications and documentation. 
  • Contact customers to obtain necessary signatures and documentation on accounts, as needed. 
  • Regularly monitor customer accounts and communicate with sales representatives about any credit limit or prepayment issues with customer accounts. 
  • Research and resolve customer problems, ensure the confidentiality of all client information, and act as the customer liaison with credit providers. 
  • Complete regularly scheduled reminder courtesy calls to customers about payments and credit limits, as requested by Location Sales Reps.

General Admin Support

  • Respond to telephone, email and in-person inquiries from customers, business partners, and other parties. 
  • Data entry support for our services (CrOptics, SoilConnect, etc.) to all retail staff and teams as needed on a seasonal basis. 
  • Review safety and inspection records and communicate reminders to all location staff for any outstanding actions or expiration of training and certificates. 
  • Assist with uploading and entering relevant inspection and safety data in the online safety system. 
  • Become proficient in all organization computer systems and software. 
  • Assist sales representatives with invoicing sales, as needed. 
  • Assist with entering inventory receipts, invoices, and load out tickets, reviewing documentation to ensure it is completed correctly. 
  • Assist with inventory counts to find and fix inventory issues, as needed. 
  • Ensure accurate pricing and quantities of the product when receiving and loading out. 
  • Create and assist with the managing of Purchase Orders for locations. 
  • Help organize, maintain, and coordinate office records and files, perform basic bookkeeping functions, and complete daily cash reports. 
  • Support the coordination of location office activities. 
  • Schedule time at each retail in the Market region monthly.

Qualifications and Requirements

  • Minimum 3-5 years administrative experience 
  • Experience in credit/financial environment an asset 
  • Certificate or diploma in office administration an asset 
  • Proficient in Microsoft Office 
  • Valid Class 5 Driver’s license
