Summary

The Facilities Support is a key member of the Facilities Department, who performs tasks and functions critical to the day-to-day operation of the Irving Street Plant Sciences Campus. This position serves as a direct liaison with internal Plant Sciences customers, Facilities vendors, and various Facilities team members to achieve consistent success supporting the functions of the Irving campus. 

Key Responsibilities

  • Welcome visitors, determine nature of business, and guide visitors through the visitor management sign-in process. 
  • Greet and interact with employees/executives entering the facility. Serve as resource for employee questions. 
  • Manage and maintain inventory for all security supplies (including but not limited to badging supplies, office supplies, radios, physical keys, etc.). 
  • Manage and maintain inventory for location printer paper and toner inventory. 
  • Manage and maintain refrigerator and breakroom stock for all buildings via online order and receipt of items, and stock refrigerators.
  • Coordinate day-to-day activities with Facilities Service providers and build relationships with account managers (Landscaping, Security, Janitorial, etc.)
  • Serve as location S2 Admin (Print badges, audit access, follow/maintain access Plant Sciences approval hierarchy, provide training to security personnel). 
  • Serve as location iLobby Admin (monitor daily visitor activity, reporting/tracking, pre-register internal visiting employees as requested by Plant Sciences personnel.)
  • Coordinate security installations/updates/repairs (security cameras, card readers, security gates). 
  • Maintain location key inventory and tracking.
  • Generates daily activity reports or incident specific reports as it pertains to security, deliveries, safety, property related events, etc. 
  • Routinely audit all systems and policies/procedures to ensure accuracy. Complete updates as necessary. 
  • Coordinate/monitor maintenance activities as requested by Facilities or Plant Sciences, and provide necessary access.

Typical Education

High school diploma or general education degree (GED)

Other Information

  • Facilitate semi-annual fire drill exercises, in coordination with Maintenance, Safety, and SPS
  • Coordinate life-safety system monthly inspections and arrange for any repairs (fire extinguishers, panic buttons, radios, pre-programmed access control threat levels). 
  • Sustainability tracking. Pay all utilities invoices for HQ & Irving St., Track and report usages to Global Sustainability Dept. and as requested by Facilities or Plant Sciences.
  • Coordinate on-site Utility services [planned power outages (after obtaining approval and coordinating with Plant Sciences, Facilities, and IT), pick-up times for dumpster, etc.]. 
  • Space planning – coordinate with Facilities Lead on Irving Complex furniture requests/requirements/upgrades, coordinate with Maintenance on moving any existing furniture, and update OfficeSpace for any layout/seating changes. 
  • Event/Meeting support - serve as AV Tech support and liaison with IT, Facilities Events Planner, & AVI as Plant Sciences requests event support (including, but not limited to monthly birthday celebrations). 
  • Request, place and pick up/arrange for delivery of food orders for meetings.
  • Mail tracking – implement/maintain Notifii system for all incoming mail/packages, train and support appropriate SPS personnel who accept deliveries. 
  • Complete work orders and apply Facilities Service Level Agreements to tasks.
  • JDE Receiving for Facilities. 
  • Cross train with HQ Security Desk for coverage at HQ. 
  • Proactively handle any arising issues and troubleshoot any emerging problems.
  • Initiate work orders and notifications for any repairs/discrepancies.
  • Identifies areas to streamline and optimize existing processes.  
  • Partner with all members of the Plant Sciences Team as a member of the Facilities team. 
  • Support other requests from Simplot Plant Sciences.
